Client Operations Associate

We are a leading business coaching firm that specializes in helping a specific type of service-based solopreneur achieve their full potential. The business owner provides personalized guidance, strategies, and resources to empower his clients to overcome challenges, grow their businesses, and reach their goals. As a remote Client Operations Associate, you will play a vital role in supporting the clients and internal team and ensuring the smooth operation of our coaching programs.

Position Overview

As a Client Operations Associate, you will be responsible for managing various operational aspects of our coaching and evergreen programs and courses. This is a new position we’re looking to fill. You’ll be working directly with and reporting to the OBM to maintain our CRM. The position is primarily behind the scenes with occasional client emails. 

While we expect to invest time teaching about the business, we are looking for someone who is confident in managing client payments, as well as carefully tracking client start dates and renewal dates. The right candidate must have meticulous attention to detail, as well as be responsible and a motivated self-starter who thrives in keeping things organized.   
 

Compensation & Hours

  • This is an independent contractor, remote opportunity.

  • We are seeking someone who can commit to 10-15 hours per month. 

  • Compensation is up to $25 per hour and will be based on experience and skill set.

 

Responsibilities

  • Perform all tasks as assigned and communicated within ClickUp professionally, efficiently, and on time.

  • Convert client management data from Google Sheets to ClickUp - must be able to lead this project with guidance from the OBM. 

  • Coordinate the onboarding efforts when a new client joins the group coaching program. 

  • Handle all offboarding activities when their annual program ends. 

  • Use Infusionsoft to tag clients and monitor their payments. 

  • Track monthly payments to ensure Infusionsoft is correctly charging clients on their due dates. 

  • Create and update Zaps as it pertains to the onboarding and offboarding process. 

  • Provide monthly reports to the OBM and owner of clients who are up for renewal. 

  • Develop reports for launches throughout the year. 

  • Develop a process to track clients of smaller evergreen programs, as we’re not currently tracking this information. 

  • Create and maintain SOPs for the client experience. 

  • Assist with quarterly client retreat planning.

  • Excellent verbal + written communication skills.

  • Impeccable organizational skills + attention to detail.

  • Great work ethic is a must.

  • Enjoys learning new skills + systems + has the willingness to learn and grow within a high-performing and fast-paced business.

  • Highly efficient + technically savvy + willing to learn and figure out things independently.

  • Takes ownership and pride in their work.

  • Thinks outside the box and is able to offer suggestions on how processes are performed.

Requirements

  • US and Canada applicants only at this time. 

  • Must have experience with ClickUp, Google Sheets, and beginner Infusionsoft knowledge

  • Access to a computer and reliable internet connection.

  • Distraction-free work environment. 

  • Available for weekly or bi-weekly team meetings during EST hours.

  • At least two years of experience in a similar position working remotely. 

You are NOT the right fit if ...

  • You cannot make yourself available during EST for meetings. 

  • You are not comfortable receiving constructive criticism. 

  • You are almost at your capacity with client work.

  • If you’re not very responsive and usually take more than 24 hours to respond (excluding weekends, holidays and planned vacations).

  • Need help managing your time.

  • Unable to work independently and need to be micromanaged.
